DocsExports & Data Extraction

Exports & Data Extraction

Export your portfolio, generate AI-ready data, connect an AI assistant, extract EU trial documents, and back up your work.

Ways to get data out

ClinicaLister lets you take your data with you in several ways: a spreadsheet export of your portfolio, an AI-ready workbook built for analysis by an AI assistant, a live connection that lets an AI read your data directly, bulk extraction of EU trial documents, and backups of your queries and follow-up data. Each is covered below.

Export your portfolio

Use the Export button in the Follow-Up header to download the trials currently in view as an Excel (XLSX) workbook. Whatever filters or chart selections are active are respected, so you export exactly the set you're looking at.

  1. 1

    Click Export

In the Follow-Up header, click Export to open the Export Options dialog (it shows how many trials will be exported).

  2. 2

    Choose single or multiple files

Pick "Single file" for everything in one workbook, or "Multiple files" to split a large portfolio into chunks.

  3. 3

    Set the chunk size

For multiple files, set Trials per file (10–1000, default 250); the dialog shows how many files that will create.

  4. 4

    Export

Confirm to download. Multi-file exports are numbered (Part 1 of N) and timestamped.

Tip: Your custom columns and their values come along in the export, alongside the standard trial fields.

AI-ready (agent) data

The export is built to be handed straight to an AI assistant. The workbook isn't just a flat trial list — it's a set of linked sheets plus an instruction sheet that tells an AI how to use them.

  • An Agent Prompt sheet leads the workbook with instructions, how the sheets connect, source-citation rules, and ready-made report recipes the AI can follow.
  • Trials sit alongside their linked data across more than 20 cross-linked sheets — FDA and EMA drugs, devices, publications, contacts, web links, and your custom columns.
  • Deeper intelligence is included too: drug identifiers and chemistry, pricing (acquisition cost, Medicare Part B and Part D), shortages, label information, manufacturer payments, EU trials, device identifiers, classifications, adverse events, recalls, and change/safety-signal history.
  • When you split a large portfolio into multiple files, each file lists the others so an AI can merge them back together.
Note: Because the active filters are preserved, you can narrow your portfolio first (by phase, sponsor, a chart click, etc.) and export just that slice for a focused AI analysis.

Connect an AI assistant (live)

Instead of exporting a file, you can let an AI assistant read your live ClinicaLister data directly. Set this up once under Settings → MCP.

  1. 1

    Generate credentials

On the MCP tab in Settings, click Generate Credentials. You'll get a Server URL, a Client ID, and a Client Secret to copy.

  2. 2

    Save your secret

Copy the Client Secret right away — it's shown only once when you generate it.

  3. 3

Add the connector in your AI app

Follow the on-screen steps: in claude.ai go to Customize → Connectors, add a new connector, paste the Server URL, then add your Client ID and Secret in advanced settings.

  4. 4

    Connect and sign in

Connect, then sign in with your ClinicaLister account to authorize access.

  • Once connected, the assistant can read your live trials, drugs, devices, publications, contacts, and custom data — no file passing required.
  • A Copy Config button gives you a ready-made configuration block for AI tools that use one.
  • You can Revoke the connection at any time, or Regenerate credentials (which replaces the old ones).
Tip: The file export is best for a one-off, point-in-time analysis; the live connection is best for ongoing questions against your current data.

Extract EU trial documents

Many trials have a counterpart in the EU Clinical Trials Information System (CTIS), with official documents attached. ClinicaLister links these automatically and lets you read or download them. EU trials are matched to your followed trials by their registration number — the trial's NCT ID or one of its secondary IDs — not by drug or indication.

  1. 1

    Open the EU Trials view

Click the EU Trials badge on a trial card or row to open "EU Clinical Trials (CTIS)" — it lists the matched EU trial(s) with status, phase, sponsor, dates, therapeutic area, condition, the EU trial number (linking to the official register), and the member states involved.

  2. 2

    Open a trial's documents

Open an EU trial's full detail and expand the Documents section. Documents are grouped by type (such as protocol, summary, or decision); click any document to open or download its PDF.

  3. 3

Download a trial's documents in bulk

From a trial's Web Links dialog, use Download All EU Docs as ZIP to get every CTIS document for that trial in one archive.

  • To grab everything at once, the EU Docs button in the table toolbar downloads the CTIS documents across all your followed trials as a single ZIP, organized into a folder per trial, with live progress.
  • Refresh All Data keeps EU documents (and EU contacts and locations) up to date for your followed trials.
  • The EU Trial Linkage chart on the dashboard shows how much of your portfolio has an EU counterpart.

Back up your work

Two backups protect the work you've put in, separate from the data exports above.

  • Query backup — export your saved queries to a file and import them later, with merge or replace handling for name clashes (see Building Queries).
  • Follow-up backup — export your own additions (custom contacts, web links, and custom-column values) across your followed trials, and restore them later.
