Table & Custom Fields

The table view, column catalog and manager, custom fields you define yourself — on trials and on drugs, devices, and diseases — card badges, and row dialogs.

The table view

The Table tab on Follow-Up (and the Search results) shows your trials as rows you can sort, filter, page through, and customize. On phones the table becomes a stack of cards. You choose exactly which columns appear.

Default columns

A new table starts with a focused set of columns so it's readable out of the box. You can add many more (see below).

ColumnShows
NCT IDTrial identifier (links out to the public registry).
PhaseThe study phase(s).
TitleThe brief title of the study.
StatusOverall recruitment/completion status.
SourceWhich saved query found the trial.
Lead SponsorThe organization leading the trial.
OrganizationThe organization name on record.

The full column catalog

Beyond the defaults, you can switch on dozens more columns covering every part of a trial record. They're grouped by theme:

Note: There are around 95 columns in total — far more than you'd want on screen at once, which is why the column manager lets you pick just the ones you need.

The column manager

Open the column manager from the table toolbar to control what's visible.

  1. 1

    Find a column

Type in the search box to filter the (long) column list by name.

  2. 2

    Show or hide

Tick or untick any column; the table updates immediately. Use Select All / Deselect All for bulk changes.

  3. 3

    Reset to defaults

Restore the standard column set at any time with Reset Columns.

Tip: Your column choices are remembered on your device, so the table looks the way you left it next time.

Custom fields you define

Custom columns let you track your own information against each trial — priority, internal owner, review status, target date, anything. They appear in the table like any other column and are included in exports. The same kind of custom fields are also available on your drugs, devices, and diseases — see “Custom fields on drugs, devices & diseases” below.

Open the custom column manager

Custom columns live one level inside the column manager.

  1. 1

    Open Columns

Click the Columns button in the table toolbar to open the column list.

  2. 2

    Choose Manage Custom Columns

At the bottom of that panel, click Manage Custom Columns to open the manager dialog, which lists your existing custom columns.

  3. 3

    Add a column

Click Add Custom Column to open the create form.

Create a custom column

The create form asks for a few things, in order. Some inputs only appear for certain types.

FieldWhat to enter
Column Name (internal)A short identifier with no spaces (e.g. priority_level). It's lowercased automatically and can't be changed after the column is created.
Column Label (display)The friendly name shown in the table header (e.g. Priority Level). You can change this later.
Data TypeThe kind of value the column holds — see the type list below. This can't be changed after creation.
Number FormatOnly for Number columns — Plain (1234), Decimal (1,234.56), Currency ($1,234.56), or Percentage (45.2%).
Dropdown OptionsOnly for Dropdown columns — add as many value/label choices as you need with Add Option.
Default Value (optional)A starting value used when a trial has nothing entered yet (not offered for Dropdown or Enrollment).
Note: Create Column saves the new field and adds it to your visible columns straight away. The internal name and data type are locked afterwards — pick the type carefully; the label, format, options, and default stay editable.

Custom field types

TypeUse it forNotes
TextFree-form notes, labelsInline edit, or an expand button opens a full editor for long text.
NumberScores, counts, amountsPick a Number Format: Plain, Decimal, Currency, or Percentage.
CurrencyBudgets, deal sizes, costsA Number with the Currency format — shown in your chosen global currency. Available on trials, drugs, devices, and diseases.
DateTarget or review datesCalendar picker; shown as e.g. Jan 15, 2024.
Yes/NoFlags and checkmarksTwo-state toggle; always shown as Yes or No.
DropdownStatus, categoryYou define the list of choices; the table shows the choice's label.
Enrollment (type + count)Tracking enrollmentCombines a type (Actual / Estimated) with a participant count. Trials only.
Tip: Currency columns show in your global currency (Settings → Preferences → Currency, US Dollar by default). Numbers, currency, and enrollment counts also follow your number format — 1,000.00 or 1.000,00 — set in Settings → Preferences → Number format. Change either and every matching value re-formats to match.

Edit, reorder, hide, or delete columns

Back in the manager, each custom column has controls:

  • Edit (pencil) — change the display label, number format, dropdown options, or default value. The internal name and data type stay locked.
  • Reorder — drag the handle to change the column order; the order is saved and persists across sessions.
  • Enable / disable (toggle) — hide a column from the column list without losing its data; flip it back on any time.
  • Delete (trash) — permanently removes the column and every value stored in it across all trials. You'll be asked to confirm because this can't be undone.

Enter and edit values

Click a custom cell in any trial row to edit it. The control matches the type.

  • Text and Number — type the value; press Enter or the checkmark to save, Escape to cancel. Long text opens a larger editor.
  • Date — pick from the calendar; it saves on selection.
  • Yes/No — toggle the checkbox; it saves immediately.
  • Dropdown — choose an option; it saves on selection.
  • Values are saved per trial, formatted by type in the table, shown as "(Empty)" when blank, and included whenever you export.

Custom fields on drugs, devices & diseases

Custom fields aren't just for trials. The drug and device tables (on the Drug & Devices tab) and the disease table (on the Diseases tab) let you attach your own fields to each molecule, device, or disease — keyed to the entity itself, with the same column manager you use for trials.

  • Switch a drug or device table to its By molecule / By device view (the toggle above the table) to get one row per molecule or device. The Diseases tab already lists one row per disease.
  • Click Custom columns above the table to open the manager — the same create/edit form as trials: internal name, display label, data type, Number Format (for Number columns), and an optional default value. The internal name and data type lock once created.
  • Each field has Edit (change label, number format, dropdown options, or default) and Delete controls, just like on trials.
  • Click a custom cell to enter a value. A value is attached to the entity itself — tag a molecule “Tier-1 competitor” once and it shows on every followed trial that molecule appears in, not just one row.
  • Search the molecule or device table by name, and filter by column values with the funnel icons — Source, Phases, and Status for molecules; Product Code, Class, Applicant, and Submission for devices.
  • Each molecule, device, and disease also has a Links action for saving your own web links to it — the same idea as web links on a trial.
Note: Only drugs, devices, and diseases linked to your followed trials appear here, so you're always annotating your own portfolio. Your custom fields and links are private to you (and shared with your team if you're on one).

The molecule table — its built-in fields

In the By molecule view, each row is one compound, rolled up across every followed trial that links it. Forms and salts of the same compound are combined into a single row.

FieldWhat it shows
MoleculeThe compound's name, with its substance class and active/canonical name.
SourceWhere the drug data comes from: FDA, EMA, or Mixed (both).
TrialsHow many of your followed trials link this molecule.
PhasesThe distinct trial phases the molecule appears in across those trials.
SponsorsHow many distinct sponsors run trials on it.
FDA / EMAThe number of approved FDA and EMA products for the molecule.
StatusApproved when the molecule has an approved FDA or EMA product.

The device table — its built-in fields

In the By device view, each row is one device (an FDA device record), rolled up across every followed trial that links it.

FieldWhat it shows
DeviceThe device name (and its generic name where available).
Product CodeThe FDA product classification code.
ClassThe FDA device class (1, 2, or 3).
ApplicantThe company that submitted the device to the FDA.
SubmissionThe submission type(s) — e.g. 510(k), PMA.
TrialsHow many of your followed trials link this device.
Decision DateThe FDA decision date for the submission.

The disease table — its built-in fields

On the Diseases tab, each row is one MONDO disease/condition, rolled up across your followed trials.

FieldWhat it shows
Disease NameThe MONDO disease/condition name.
MONDO IDThe ontology identifier, e.g. MONDO:0005148.
Trial CountHow many of your followed trials are linked to the disease.
RareWhether the disease is flagged as a rare disease.
Match MethodsHow the disease was linked to your trials (e.g. exact name, synonym).
Avg ConfidenceAverage link confidence across the matched trials (hidden by default; switch it on with the column toggle).

Adding a custom column (any table)

The flow is the same on trials, molecules, devices, and diseases.

  1. 1

    Open the manager

Click Custom columns (or Manage Custom Columns) above the table to open the dialog, then Add Custom Column.

  2. 2

    Name it

Enter a Column Name (internal) — a short identifier, no spaces — and a Column Label (display) shown in the header. The internal name locks once created; the label stays editable.

  3. 3

    Pick a type

Choose Text, Number, Date, Yes/No, or Dropdown. The type also locks after creation, so pick it carefully.

  4. 4

    Set the format (Number only)

For Number columns, pick a Number Format — Plain, Decimal, Currency, or Percentage. Currency uses your global currency.

  5. 5

    Options or default

For Dropdown, add your list of choices. For other types, set an optional Default Value used until you enter one.

  6. 6

    Save

Create the column; it appears in the table straight away. Use Edit to change the label, format, options, or default later, or Delete to remove it (and its values) for good.

Entering values

Click any custom cell to edit it; the control matches the type.

  • Text / Number / Currency — type the value (currency and numbers are formatted on display, not while typing).
  • Date — pick from the calendar.
  • Yes/No — toggle between Yes and No.
  • Dropdown — choose one of your options.
  • On molecules, devices, and diseases the value is attached to the entity, so it shows everywhere that entity appears; on trials it's per trial. Blank cells show as a dash or "(Empty)".

Currency & number format settings

Two global preferences control how numeric custom fields read everywhere. Set them once in Settings → Preferences; they apply across trials, drugs, devices, and diseases.

SettingWhat it does
CurrencyThe currency used for every Currency custom column (US Dollar by default). Pick from common currencies — USD, EUR, GBP, JPY, and more. Change it and all currency fields re-format, e.g. $1,000 becomes €1.000.
Number formatHow thousands and decimals are written: 1,000.00 (comma thousands, dot decimal) or 1.000,00 (dot thousands, comma decimal). It applies to Number and Currency custom columns and to enrollment counts.
Tip: The two settings combine: with currency EUR and number format 1.000,00, a currency field showing one thousand reads €1.000,00. Plain-number custom columns stay ungrouped by design (1234); choose the Decimal format if you want grouped numbers.

Sorting, paging, and bulk actions

  • Sort by clicking any column header (one column at a time).
  • Filter a column by its values using the funnel icon in the header; multiple column filters combine.
  • Page size options are 25, 50, 100, or 500 rows per page.
  • Unfollow All removes every trial currently in view (after a confirmation).
  • In Search results you can multi-select trials and Follow Selected.
Note: If you're a view-only member of a team, the unfollow controls are hidden — you can browse the shared portfolio but not change it.

The card view & its badges

On smaller screens (or when you switch to cards), each trial is a card showing its key fields plus a row of badges. Each badge shows a count and opens a detail dialog.

BadgeOpens
LocationsAll trial sites, with map links and search.
Drugs & DevicesThe linked drugs and devices and their details.
ContactsStudy officials plus contacts you add yourself.
LinksWeb links saved to the trial.
PubsRelated publications, searchable and filterable.
MapThe trial's locations on an interactive map.
EU TrialsMatching EU clinical trials, when available.
View DetailsA full panel with every visible field and your custom fields.

Row dialogs

The same dialogs are reachable from the actions column in the table. Highlights of what each contains:

  • Locations — facility name, city, country, status, and a map link per site; searchable and downloadable.
  • Contacts — add, edit, and delete contacts, or auto-fill from the trial's listed officials.
  • Publications — title, authors, journal, year, and source; search and filter, with links to the source and full text.
  • Web Links — your own saved links for the trial.
  • Drugs & Devices — the linked drugs/devices with designations, safety flags, and full detail panels.
  • EU Trials — EU studies matched to the trial by its registration number (NCT or a secondary ID).

Custom fields in exports

When you export your portfolio, your custom columns come along — their labels, types, and the values you entered for each trial are all preserved, so your own data lands in the spreadsheet alongside the trial fields.
