Monitoring & Alerts

How monitoring works

Once monitoring is on for a query, ClinicaLister watches the trials it follows and records when they change — status updates, enrollment changes, new or removed facilities, sponsor changes, and more. Those changes surface in the Monitoring tab on the Follow-Up page and, if you choose, by email.

Turn monitoring on

Monitoring is configured per query so you stay in control of what gets watched.

   Enable monitoring on a query

   In the query's settings, switch monitoring on (typically alongside auto-follow so new matches are watched too).

   Choose a frequency

   Pick how often you want to be checked in with — for example daily or weekly.

Severity levels

Every change is classified by how important it is, so you can focus on what matters:

• Critical — the most significant changes (for example a trial's overall status changing, or a drug safety flag like a recall or boxed warning).
• High — important changes worth a prompt look (phase, enrollment, primary outcomes, results posting).
• Medium — notable but routine changes (conditions, interventions, locations, sponsor details).
• Low — minor or housekeeping updates kept for completeness.

Configure alert severity (per field)

You decide which field changes deserve which severity. Open the settings gear in the Monitoring header to open "Configure Alert Severity", then assign a level to each monitored field. This mapping is yours — it personalizes how every change is classified, which in turn drives the severity filters and the colours in the sponsor matrix.

   Open the settings

   Click the gear / Settings control at the top of the Monitoring tab.

   Find the field

   Fields are grouped into tabs — Clinical Trials, Drugs & Devices, and Safety & Regulatory — with a search box to jump straight to a field.

   Pick a severity

   For each field, choose Critical, High, Medium, or Low from its selector. Every field ships with a sensible default (for example Overall Status and Why Stopped default to Critical; safety flags such as recalls, boxed warnings, and drug shortages default to Critical; index/browse fields default to Low).

   Save

   Click Save Changes to apply. Your choices take effect immediately across your monitoring views.

• Settings are per-user — your mapping doesn't change what your teammates see.
• A severity guide in the dialog explains each level with its colour.
• Use Reset to Defaults to restore every field to its original severity in one click.

Review change history

The Monitoring tab is a feed of what's changed across your portfolio.

• See a summary of new alerts grouped by severity.
• Filter the history by date range and by severity, or search by trial or field.
• Expand any entry to see a clear before-and-after of exactly what changed.
• Use the timeline to see when changes clustered over time.

Sponsor activity matrix — what it shows

The sponsor activity matrix is a grid that summarizes change activity by sponsor. Each row is a sponsor and each column is one of the fields you've chosen to watch; the cell where they meet shows how many changes that sponsor's trials made to that field.

• Cell number — the count of changes for that sponsor and field.
• Severity dots — small coloured dots on a cell flag the highest severity among those changes (red Critical, orange High, yellow Medium, grey Low).
• Row summary — each sponsor row also shows total changes, an average per trial, an average severity, a 12-week activity sparkline, and an activity badge (Low / Medium / High) plus a month-over-month trend (or a NEW badge for first-time activity).

Open the matrix's own settings to tailor it. There are three tabs.

• Click a cell to open the exact changes behind it — the changes that sponsor made to that field, listed by trial with timestamps and severity.
• Click a sponsor's name (or the eye icon on the row) to see all of that sponsor's changes across every field.
• Use the search box to filter the rows to a sponsor by name; a badge shows how many of the total sponsors are visible.
• Reset to Defaults discards local tweaks and returns to your saved matrix settings.

Email notifications

When a monitored query has changes, ClinicaLister can email you a summary on the schedule you chose. The email highlights what changed and links you back to the Monitoring tab for the full detail.
